MICROSOFT 365 | ACCESS, COLLABORATION & INFORMATION CONTROL
Find the right file. Know who can see it.
When a supplier updates a specification or the quality team needs evidence, the delay isn't always the work itself. Sometimes it's finding the current document, checking who owns it and getting access without another round of messages.
If your business uses Microsoft 365, there may be opportunities to make that process more reliable without replacing your existing systems.
Practical checks first · Existing Microsoft tools where appropriate · Works alongside your IT team
An agreed source for current information
Access matches the work being done

A familiar-looking problem
A revised supplier specification arrives by email. One colleague saves it to Teams, another keeps the attachment in their inbox and an old copy remains in a shared folder. An operations or quality colleague needs to check the latest version before work can move on.
Nothing needs to have gone wrong for that to waste time. The problems are usually less dramatic: repeated searching, uncertainty about which document is current and access that isn't clear when teams or external suppliers change.
The outcome worth improving is straightforward: the right person can locate and use the right information, without inviting everyone into folders they don't need.
02 / PUT IT TO WORK
Five questions worth checking with your own team
Use one recent supplier, customer or quality-document request rather than trying to review all your information at once.
Start with these questions and an actual workflow. No need to buy a product before understanding the friction.

Manufacturing information flow check | Your working notes
One clear location or an agreed way to identify the authoritative copy.
A named process owner who can confirm versions and retirement of old copies.
Permissions based on actual work, including any external collaborator.
How access and shared links are reviewed or removed when no longer needed.
How the relevant team can find the record and explain where it came from.
Your notes stay on this page and disappear if you refresh or leave. Copy or print them to keep a record. They are not sent to Assured Digital.

Who actually gets the Microsoft security alert?
MFA and security software are only part of the arrangement. When a sign-in looks wrong or access changes unexpectedly, somebody needs to see the alert, decide what it means and act.
Use these checks with whoever manages your Microsoft environment:
1. Which events are you watching? Agree which sign-in, identity and endpoint events matter, which services produce them and what your current licences and configuration support. Do not assume every alert is enabled by default.
2. Who receives and investigates the alert? Name the internal team or provider, the hours covered and the escalation route. Check where notifications go when the usual person is away.
3. Who can contain a problem? Confirm who is authorised to block an account, revoke sessions or isolate a supported endpoint, and how they involve operations if the action interrupts work.
4. What has been tested? Review a recent alert or an agreed safe test. Establish who received it, how it was investigated and what remains unresolved. An alert in a dashboard does not prove somebody responded.
5. Does access still match the job? Review guest users, sharing links and privileged access when people, suppliers or roles change. Keep legitimate collaboration working while removing access that is no longer needed.
A focused Microsoft or security project can clarify these responsibilities and improve the controls your existing setup supports. It does not automatically require a new platform or a provider change.

Where Microsoft Purview fits, and where it doesn't
Depending on configuration and entitlement, Microsoft Purview capabilities can help with discovery of supported Microsoft 365 data, information protection and related governance. Supported sources may include Exchange Online, Teams, SharePoint and OneDrive.
It's not a search engine for every ERP, CAD, MES or quality-management system. It doesn't automatically approve documents, decide legal disclosure or replace the ownership of an operational process.
The right approach might involve Microsoft 365 access controls, information architecture, permissions, a more deliberate process or selected Purview capabilities. We start with the workflow, not the licence.

Where Assured Digital helps
We support Microsoft environments, identity and access, cybersecurity and data governance. A focused review can cover where the information lives, where people lose time, how access is managed and what needs improving. We can work with an internal team or current MSP rather than replace them.
Need resilience instead? The separate manufacturing recovery guide explains how to restore a usable business service rather than only recover data. Visit the recovery guide.

Is there a document or access process worth fixing?
Tell us what people are currently spending time finding, approving or chasing. We can help establish whether a small Microsoft configuration, governance or process change would make a worthwhile difference.

Common questions
Does every manufacturer need Microsoft Purview? No. Only where the actual requirement and existing environment justify it.
Can this search our ERP or CAD records? Not automatically. Specialist application data needs its own scope and integration assessment.
Can you remove all manual work from SARs? No. We can reduce parts of discovery and collation, not automate the legal decisions.
Do we have to replace our IT team? No. This is well suited to defined improvement work with existing teams and suppliers.
