Data Optimisation
Nurture your data before making it intelligent.
Assured Digital, working with DATALO, helps organisations understand, optimise and govern data across its lifecycle. The result is a stronger foundation for security, agentic automation and AI-derived insights.
DATALO is the methodology

It turns fragmented, dispersed data into governed, insightful assets.
You have data. You do not yet have an estate you can confidently see or govern.
The problem
Most organisations carry data risk they cannot quantify, and opportunities they cannot liberate.
If you cannot describe where your data lives, who can access it, or how long it is kept, you are carrying risk you cannot measure and leaving value you cannot yet use.
DATALO Maturity Model: accessible summary
Four maturity levels: 01 Initial (fragmented), 02 Developing (visible), 03 Managed (governed), 04 Optimised (useful), across seven dimensions: Scope, Process, People, Security, Manage, Optimise, Utilise.
| Dimension | 01 Initial | 02 Developing | 03 Managed | 04 Optimised |
|---|---|---|---|---|
| Scope | Data comes from one or two systems. Everything else is out of view. | Key sources are being identified and partially catalogued. | Business-critical data domains are defined and mapped. | Scope spans the whole estate, with clear ownership throughout. |
| Process | Processes are manual and inconsistent from one team to the next. | Basic processes exist, but only in pockets of the business. | Standard processes are established and consistently followed. | Processes are integrated and increasingly automated. |
| People | Ownership is unclear and skills sit with a handful of people. | Some roles and responsibilities are starting to be defined. | Owners and stewards are assigned across every domain. | Cross-functional teams share strong, active ownership. |
| Security | Security controls are basic and applied unevenly. | Risk awareness is growing, with early access controls in place. | Security policies are applied consistently across critical data. | Controls are adaptive, resilient and adjust as risk changes. |
| Manage | Monitoring and reporting are minimal and largely reactive. | Reporting exists but relies on manual updates. | Regular dashboards and KPIs guide day-to-day management. | Monitoring is real-time, with automated alerts built in. |
| Optimise | There is no structured effort to improve how data is used. | Improvements happen occasionally, usually after something breaks. | Optimisation is continuous, with measurable impact tracked. | Optimisation is embedded into how the organisation operates. |
| Utilise | Data is used mainly to produce basic, backward-looking reports. | Data starts to inform day-to-day operational decisions. | Data supports both tactical and strategic decision-making. | Data actively drives innovation, performance and business value. |

Your data landscape does not mature in harmony.
Different systems, teams, controls and data domains mature at different speeds, so the landscape can fall out of alignment. See how visibility, ownership, control and usefulness change as it matures.

DATALO lifecycle model, accessible summary
Data Lifecycle Optimisation moves through three phases, followed by the value they create. Management is where data is created and then ingested into the organisation's systems, platforms and workflows. Optimisation is the trust-building engine, made up of five disciplines known as the 5Cs: Collect, Classify, Curate, Consent and Control. As each C takes effect, the information's source becomes visible, gains context, loses noise, has its permitted use made explicit, and becomes governed and monitored. Utilisation is how that controlled information becomes useful: it is transformed, augmented and analysed, with AI, agents and automation acting only as a supporting, enabling layer, converging on Insight, the single gateway where trustworthy data reveals what matters. Underlying data layers, including infrastructure, metadata, core data and telemetry, become relevant at specific points in this journey rather than being shown all at once. Only once Insight is reached does the flow create value: Automation, Decision support and Value creation.

Data Lifecycle Optimisation is for life, not just for the audit.
It is a single coherent approach to continuously understanding, controlling and improving the data lifecycle. Data moves continuously through your organisation, so DATALO provides a practical structure for making it genuinely useful over time.
The lifecycle comes first. Technology follows.

AI-generated interpretation
Data is captured reliably in day-to-day work, but access, changes and decisions are not consistently governed or evidenced, which is the fastest way to lose trust as more of the estate is automated.

Need to go deeper?
The diagnostic gives you a fast, directional view of your current position. If the results uncover something worth exploring, we can walk through them with you and, where useful, carry out a deeper Data Lifecycle Assessment to validate the findings, understand the underlying estate and shape a practical improvement plan.
Where technology fits
The platform follows the problem.
Many Microsoft 365 environments already include useful Purview capabilities. What is available depends on the licence. The important question is which controls you need, how they should be configured and how they fit the wider data estate.

Governance and control
Microsoft Purview, configured where it fits: classification, retention, DLP, audit and the sensitivity labelling that decides what Copilot and other AI tools can see.
Classification · Sensitivity · Retention · DLP · eDiscovery · Audit · Copilot readiness
Wider estate
Other SaaS platforms, third-party DLP, data catalogues and sector-specific tooling.
Other SaaS · Third-party DLP · Data catalogues · Sector tooling
The assessment identifies the requirement. Assured Digital implements the appropriate control, drawing on Purview where it fits and other tooling where it does not. Classification and access control decide what Copilot and other AI tools can surface, so this layer is usually the practical starting point for safe AI adoption.

Supporting ASDAN with data governance and Microsoft 365 control
“We can now think about the future, rather than how to get to Friday.”
Stronger cyber and data foundations gave ASDAN's leadership and trustees greater confidence to expand its qualification offer, support international growth and explore the secure use of AI.
